Outsourcing to a chartered accountant - except for invoices in xls.

I record everything in Excel spreadsheets, and then convert my invoices into PDFs before sending them to the customer. It works pretty well for me, though I'm open to suggestions of how to improve it.

I keep a record of my invoice, but everything is done by a chartered accountant.

All my invoices are made in Excel and sent as PDF to the clients, but I do my own bookeeping in a great program by Trèfle Rouge called BNC Express.
Easy to use, approved by my "Agence de gestion agréée" (association who helps with book-keeping and checks your income declaration), and can generate an income statement approved by Tax Office every year.

I used to do invoicing, etc with Excel, but it was kind of messy. Now I use Billings for Mac and it's truly fantastic. I'm very happy with it.

I think I'm approaching grumpy old lady status.
I use text documents, with an occasional PDF to document an entry, but I marked "other" because I decline to check an inaccurate and clearly biased option that calls my method "messy." My system, though antiquated, is neat, organized, and quite sufficient for my business, which consists of 2-3 large jobs and 1-2 small jobs per month.

I agree. I also think the word messy is completely inappropriate.
I use Excel to keep track of payments and send out invoices in PDF. The rest is done by an accountant. There's nothing messy about not using special invoicing software and it's not more time consuming either.

This is the best way to do it in Mexico since we have to file monthly Tax Reports (and pay taxes monthly)and then our Annual Return. My accountant keeps everything straight and I do not have to worry much, except for paying my taxes.

I sure don't want to be responsible for grumpiness here. Sorry if the wording can be misinterpreted.
But if it's done the wrong way, you can indeed end up with a messy (virtual) pile of PDFs, e-mail POs, Excel files, etc. It doesn't even have to be your own fault.. But some clients prefer to issue POs in Excel, some prefer to show them as HTML files, others send formal PDF POs, etc. The same continues with the invoices: som... And if you tend to have many (smaller) jobs per month and if you don't find a way to organize this, you'll quickly have... a mess.
So, yes, ok, maybe there should have been another option called "A non-messy collection of..."
(And btw, I'm currently working with PDFs, Excel etc., myself and so far, I have returned all the special software tools I've evaluated.. I'm certainly not biased here..) ▲ Collapse

It always looks so odd to me with the 2 Ks back to back.
I keep my list of jobs for each client in Word folders, enumerated in Word tables. My bills are done on XL templates, which I recently started sending as PDFs. I keep a list of my yearly bills in a word doc and also divided into quarters or semesters depending on the client and volume, etc.

I can have as many as 80 jobs for around 20 customers in a month, so I need a good system to keep track of it all! I think the system I use works pretty well, but I always worry that some of the small jobs slip through the net!
